Privacy Policy
This Privacy Policy explains what information the Vanuatu NDMO Logistics Dashboard (the "Service") accesses, why, and how it is handled. The Service is operated by the Vanuatu National Disaster Management Office (NDMO) and is built as a Google Apps Script web app on Google Workspace.
1. Who this applies to
This policy applies to authorized users who sign in to the Service with a Google account. The Service is intended for NDMO staff and designated humanitarian partners supporting logistics operations in Vanuatu.
2. Information we access from Google
When you sign in, the Service requests the minimum Google permissions needed to identify you and to operate:
- Basic profile (name and email address) — used solely to identify you, personalize your session, and associate your actions with your account.
- Access to the project's own spreadsheet — the single Google Sheets file created and owned by the NDMO for this project, used to store logistics data (stock, requests, approvals).
The Service does not request or obtain access to your personal Google Drive, Gmail, Contacts, Photos, or any other files or services.
3. Why we access this information
The accessed information is used only to:
- Authenticate you and confirm you are an authorized user;
- Record who created or acted on logistics records (accountability and audit);
- Read and write the project spreadsheet that powers the dashboard.
4. Operational data you enter
Data you submit — such as stock levels, supply requests, approvals, and any names or contact details included in those records — is stored in the project spreadsheet. This data is used to coordinate humanitarian logistics and may be viewed by other authorized users according to their role.
5. What we do not do
- We do not sell, rent, or trade your information.
- We do not use your Google data for advertising.
- We do not access, scan, or store your personal Google files or email.
- We do not transfer your data outside the project's Google Workspace storage except as required for the Service to function.
6. Data retention
Operational data is retained in the project spreadsheet for as long as needed to support disaster management activities and is managed by the NDMO. Basic profile information is retained only as necessary to operate and secure the Service. The NDMO may remove access or data in line with its operational and legal requirements.
7. Security
Access is controlled through Google authentication and a predefined user list. Because the Service runs on Google Workspace, data is protected by Google's infrastructure security. You are responsible for safeguarding your own Google account credentials.
8. Your choices and rights
You can discontinue use at any time. You may request removal of your associated records by contacting the NDMO using the details below. You can also revoke the Service's access to your Google account at any time via your Google Account permissions settings.
9. Children's data
The Service is not directed to children and is not intended for use by anyone under the age of 16 without appropriate authorization.
10. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be reflected by the "Last updated" date above. Continued use of the Service after changes constitutes acceptance of the updated policy.
11. Contact
For questions about this Privacy Policy or to exercise your choices, contact the NDMO at ndmo.logistics@vanuatu.gov.vu.
